What is Rillion Analytics? 

 

Rillion Analytics is a built-in reporting tool in Rillion Prime that gives you real-time insights into your invoice processing and financial performance. It helps you monitor automation levels, vendor behaviour, approval flow efficiency, and trends in invoice handling. You can also access business reports like spend and cash flow to support forecasting and budget control. With 17 ready-made reports, it’s easy to track your overall automation rate and identify where to improve—such as enabling contract matching or refining approval flows. 

 

How to get access to Rillion Analytics? 

To access Rillion Analytics, it first needs to be enabled in your Rillion Prime environment. If you're unsure whether it's available to you, check with your system owner or your Rillion Customer Success Manager who can confirm access and help you get started. 

Once enabled, you can access Rillion Analytics directly from the Rillion Prime interface. It includes 17 ready-made reports covering areas like automation levels, approval flow efficiency, spend, and cash flow. These reports are designed to be easy to use and require no advanced analytics skills. 

Access to Rillion Analytics is controlled through role-based permission groups. If you don’t see the Analytics tab or specific reports, your role may need to be updated to include the correct permissions. Your system administrator can adjust this for you. 

 

What kind of reports are included in Analytics? 

Rillion Analytics provides access to 17 pre-built reports across categories like AP workflows, performance tracking, business metrics, and executive dashboards. These reports can be filtered by vendor, entity, invoice status, and more, allowing you to drill down into the data that matters most to you. 

 

Can I make my own reports with Rillion Analytics? 

Rillion Analytics provides access to 17 pre-built reports across categories like AP workflows, performance tracking, business metrics, and executive dashboards. These reports can be filtered by vendor, entity, invoice status, and more, allowing you to drill down into the data that matters most to you.  

However, if you would want to export data from Rillion to your own Power BI or other external data platform, Rillion Analytics BYO could be a suitable solution. Rillion Analytics BYO is an add-on solution that enables organizations to export invoice data from the Rillion database and store it in their own Azure Data Lake as Parquet files. From there, you can connect your preferred BI tool (like Power BI, Tableau, or Qlik) to build and manage custom reports tailored to your organization’s needs. 

 

Do I need my own Power BI license to use Rillion Analytics? 

No, you don’t need your own Power BI license to use Rillion Analytics. It runs on Rillion’s hosted Power BI platform, so everything is included. If you’d like to build your own reports using external tools, the Rillion Analytics BYO add-on lets you export data to your own environment. A separate license might be needed depending on your setup, and your contact person at Rillion can help you confirm what’s needed. 

 

Who has access to Analytics? 

Anyone who has access to Rillion Prime Analytics must meet two conditions: 

  1. Their role must include the correct permission group 
     Access is managed through permission groups in Rillion Prime. To enable Analytics, the         user’s role must have the setting “Rillion Analytics = 1 (Yes)” under the Reports section in the permission group settings. There is no separate permission group just for Analyticsit’s a setting within existing groups like Accounts Payable. 
  2. They must have access to the companies they want to report on 
    Even with Analytics enabled, users will only see data for the companies they have access to in Rillion Prime. This ensures that users only view data relevant to their assigned entities 

If you're unsure who currently has access, you can check each user's assigned role and permission group in the Settings > Administration > Roles section.  

can't see Analytics - what to do? 

If you can’t see Analytics in Rillion Prime, check with your system owner that your role includes access to Rillion Analytics. Access is managed through permission groups. To enable Analytics, the user’s role must have the setting “Rillion Analytics = 1 (Yes)” under the Reports section in the permission group settings. Also, make sure you have access to the companies you need, Analytics only shows data for companies you have access to in Rillion Prime. 

 

Can I limit what different users have access to in Analytics? 

 


  • Yes, you can limit what different users have access to in Rillion Prime Analytics. 
  • Access is managed through permission groups assigned to user roles. You can control who sees Analytics by adjusting these settings under  Settings > Administration > Roles. 
  • In addition, users will only see data for the companies they have access to. This ensures that each user only views relevant information based on their assigned companies. 

 

How can I use Analytics to improve my end-of-month (EOM) process? 

 

Rillion Analytics offers several ways to support and improve your end-of-month (EOM) process. The examples below show how specific reports can help address common Accounts Payable challenges and streamline closing activities: 

 

1. Speed up invoice processing 
The Invoice Flow report shows the full lifecycle of invoices, helping you detect bottlenecks in logging, matching, and approval so you can act before delays affect closing. 

2. Resolve approval delays 
The AP Agin report highlights invoices pending approval and how long they’ve been waiting. This allows you to follow up with the right people and avoid a last-minute rush. 

3. Prevent duplicate or incorrect payments 
Use the  Recorded Unpaid Invoices report to get a clear overview of outstanding invoices. This helps ensure only valid and approved invoices are paid. 

4. Improve vendor communication 
The Invoice Overview report provides real-time visibility into invoice progress, helping your team respond quickly and accurately to vendor inquiries. 

5. Enhance cash flow planning 
Reports like AP Aging and AP Cashflow give you a clear view of upcoming liabilities and payment schedules, supporting better financial planning and timely decision-making. 

6. Save time with pre-built dashboards 
Rillion Analytics includes 17 ready-to-use reports with daily data updates. This eliminates the need for manual exports and spreadsheets, helping your team close the books faster and more accurately. 

Rillion’s Customer Success Manager can also help you identify areas for improvement and define KPIs to track in Analytics based on your specific goals. 

 

How can I use Analytics to find areas of system improvement? 

You can use Rillion Analytics to identify areas of system improvement by analyzing key reports that highlight inefficiencies, bottlenecks, and opportunities for automation in your Accounts Payable process. Below are several ways to do this: 

 

1. Identify workflow bottlenecks 
Use the Invoice Flow and Active Invoices reports to see where invoices are getting delayed—whether in logging, matching, or approval. These insights help you pinpoint where process adjustments are needed. 

2. Monitor manual interventions 
The Invoice Log Tracking report shows how often invoices are edited after logging. A high number of changes may indicate unclear processes, missing data, or the need for user training. 

3. Benchmark automation performance 
Analytics includes metrics that allow you to compare your automation levels against internal targets or industry benchmarks. This helps you identify underperforming areas and prioritize improvements. 

4. Track delayed or unpaid invoices 
Reports like Recorded Unpaid Invoices and AP Aging help you monitor overdue payments and approval delays, revealing gaps in workflows or payment scheduling. 

5. Analyze vendor and spend trends 
Use the Spend Report and Vendor Payment Analyzer to identify vendor concentration risks, inconsistent payment patterns, or opportunities for better sourcing strategies. 

6. Evaluate user roles and task distribution 
Analytics can highlight if certain users or roles consistently have overdue tasks, which may suggest a need to review workload distribution or permissions. 

7. Use executive dashboards for strategic oversight 
The Executive Dashboard aggregates key AP metrics, helping leadership teams track trends, set improvement goals, and align system performance with business objectives.

How can I use Analytics to streamline authorization amounts across the organization? 

 
To streamline authorization amounts across your organization using Analytics, use the Role Overview report. This report gives you a clear view of how approval roles and authorization levels are structured. You can filter by user or role to identify inconsistencies or gaps in approval rights. 

 

What KPI's should I track in analytics?  

To improve AP automation performance, our recommendation is to use the following reports (or investigate the following data): 

• E-InvoicesExecutive Dashboard for overview and Invoice Summary Report for deeper analysis 

• Successful account codingExecutive Dashboard for overview and Invoice Summary Report for deeper analysis 

• Successful flowsExecutive Dashboard for overview and Invoice Summary Report for deeper analysis 

• Contracts: The contract candidate report provides insights into invoices that can be matched into contracts, facilitating enhanced automation. 

 

How do I know if my KPI stats are "good"? 

To determine whether your KPI stats in Rillion Prime Analytics are “good,” start by considering your business goals, historical performance, and think of any challenges you are facing today. 

In Analytics, use the Executive Dashboard to get a real-time overview of your performance. Focus on KPIs like successful accounting and successful flows and track them regularly to monitor progress and stay aligned with your targets. 

Benchmark reports help you evaluate your stats by comparing your automation level to other Rillion customers, giving you a clear sense of whether your performance is on track.
